Lists

A list holds exactly what you put in it, which is what makes it different from a view.

What a list is#

A list is a named set of records you build by hand: the twelve people coming to Saturday's open house, your referral sources, the deals you want to review on Friday.

A list covers one kind of record only: contacts or deals. You choose which when you create it, and it never changes.

The difference from a view is the whole point. A view fills itself from filters, so its contents change as your data does. A list only ever holds what you added.

A record can be on as many lists as you like. Each list has a name and an emoji, so you can spot it in the sidebar, and it keeps its own saved views for sorting and filtering its members. The view's sort is the only order; you cannot drag records into a rank. A list's last view cannot be deleted.

Create a list#

Click the + on the sidebar's Lists section. Pick the kind of record, give the list a name, and choose an emoji if you want one. There is a default if you do not.

Brick takes you straight to the new, empty list. The sidebar section shows your five most recently used lists; below them, All lists opens the full set with a search box.

You can also create one from Settings → Lists, which shows every list you have with how many records it holds.

On the list's page, click the emoji to change it and double-click the name to rename it. The List options menu (⋯) at the top right offers Rename list, Duplicate list, Copy URL, Add to favourites, and Delete list; the star beside it also favourites the list. Delete list asks first: This removes the list and its views. The records stay in your CRM.

Add records to a list#

There are several ways in.

  • From inside the list: the Add Contact or Add Deal button (also shown when the list is empty) opens a picker of your records with a checkbox each. Tick what you want and press Save (or ⌘Enter). Nothing is written until you save.
  • From a table: Add to list is in each row's ⋯ menu, and in the bar that appears when you select several rows.
  • From a record page: every contact and deal has an Add to list button among its actions, and a Lists section with a +.
  • From a CSV file: a contacts list's Import / Export menu offers Import. Every contact the import creates or updates lands on the list. See Import and export.
  • From Ask Brick: ask it, for example "add Ling Zhao to Hot leads". It adds the record at once, with no card to confirm.

Picking a single record shows checkboxes already ticked for the lists it is on, so you can add and remove in one go. Selecting several records at once only adds. Removing across a mixed selection is too easy to get wrong, so you do that on the list itself.

Adding the same record twice does nothing; it is already there. One add or remove takes up to 500 records; a bigger selection fails as a whole.

Remove records from a list#

Open the list, then use Remove from list in a row's ⋯ menu, or select several rows and use the same action in the selection bar. On a contact or deal page, hover a row in its Lists section and click the ✕ (Remove from list); that removes it at once.

Removing a record from a list never touches the record. Deleting the whole list is the same: the records stay in your CRM.

Select several records at once#

Selecting works the same way on every table in Brick: contacts, deals, tasks, and lists. The Inbox differs a little; see Bulk actions.

  • Click a row's checkbox to select it, and the one in the header to take every row.
  • Shift-click another row to take everything between the two.
  • Hold Shift with the up and down arrows to extend from the keyboard. Click a cell first so it has the focus ring; with only a checkbox clicked, the keys do nothing.
  • Press ⌘A (Ctrl+A on Windows) to take everything loaded on the page.

On a board, the checkbox appears when you hover a card, and x selects or deselects the card you are on. Shift ranges do not work on a board.

While anything is selected, a bar floats over the page showing the count and what you can do with it: contacts offer Add to list, Send email and Delete; deals offer Add to list, Move to stage and Delete; inside a list you get Remove from list.

Press Esc, or the ✕ on the bar, to clear the selection. A second click on the header checkbox clears it too. Pressing ⌘A again does not clear it. It only ever selects.
